Set-up is the most labor-intensive job so more help is good especially as the weather gets colder. --Generally, if you are short volunteers before hand you can recruit parents on site and hanging out at the tent area to help. Just introduce yourself and ask if they can help out and most people will. --One or two people should be around most of the day to oversee the general running until we have enough volunteers experienced to do this. Of course, these volunteers should not be expected to do all the work for the whole day, so delegate, and go watch some races and come back to check in on the tent as needed. Especially important for these volunteers is someone to keep track of the unloading and reloading of the trailer and that everything goes back into the trailer at the end of the day.Coffee Pick-Up--Pick up coffee at a Dunkin' Donuts close to the race site. Do a Google search for a DD's in the race area, call ahead to order and it is ready when they get there - or you can drop in a wait, it only takes a few minutes. Usual order: 3 regular and 1 decaf. With colder weather we could also get 2 hot chocolates. DD's provides cups, cream, sugars, and stirs. Volunteer would turn in the receipt for reimbursement.Food Tent Shift 1--Arrive to the regatta site before/or at the same time as the rowers. Unload food trailer (not everything needs to come out). Sometimes the food trailer can be left close to the tent set-up area, or you can unload and move the trailer. In rare instances you will have to park and carry everything a distance to the tent area. -If rowers arrive at same time they can help bring supplies to food tent area and help with tent set-up. Set up small table with camp stove and start to heat water for beverages/oatmeal ASAP --Help set-up food tent(s), tables, breakfast foods. --Foods for later in the day can be left in the trailer or placed under the tables depending on distance from tent to trailer. --Supervise and maintain food area by replenishing trays, clearing empties, restocking coolers and keeping area neat and tidy.Food Tent Shift 2--Bring out lunch foods. --Set-up and cook grill foods. Can precook and keep warm in steam trays to stay ahead of the rush of hungry rowers. Supervise and maintain food area by replenishing trays, clearing empties, restocking coolers and keeping area neat and tidy. --Rowers can be asked to do a clean up at any time. --Always be mindful of late races and save food for these rowersFood Tent Shift 3--Supervise and maintain food area by replenishing trays, clearing empties, restocking coolers and keeping area neat and tidy. --As for having food towards the end of a regatta, of course some foods should be cooked and left aside only for those who raced towards the end along with some beverages and assorted snacks. It is the responsibility of the kids who are done racing to get their fill of food knowing that the boat trailer AND tent/food trailer needs to be loaded up while our last events are running. Sandwiches are usually sent to the boat trailer as the tent/food trailer is packed up which will usually suffice. Regatta Break-Down--Help take down food tent(s). --Cart everything back to the trailer and reload trailer in an orderly and secure manner. --Rowers can help with the break down and the taking of everything back to the trailer.
