Seconded. Unanimous vote to accept. Executive Session Learn to Skate: Question of whether there should there be an open house on Oct. 4 for registration. It was suggested to bring a laptop to allow people to register then. Treasurers report: An audit of the organization was done, and there were no issues. The tax returns are done and filed. A question was asked if Tony is collecting money for shirts. Cindy hasnt seen any money for this. It was questioned if Tony has collected money but just not turned it in. Blank jerseys were ordered as part of the original order just in case new players came in. More blank jerseys may need to ordered in the future. It was suggested that next year a box should be put on the registration form for people to check if they need a new shirt. More money came in for midgets than expected. There will be 20 games the second half at NESC. Wes wants $5000 for midgets second half. Fee per player for second half may possibly be $600 per player. SYHA needs to figure out the cost of practice ice and the league fee for second half. There will be 30 games total for the first and second halves. SYHA needs to make sure the cost per player will cover league fees. The second half of the season will run Dec.-Apr . This works out to about 1 game per week. Fundraising: The association is way ahead this year in team sponsors. There is one team sponsor for each team. House League has a sponsor. Qdoba will be a half sponsor for the coaches game. Callan will talk to Steve Levine about possibly co-sponsoring the other half. One team could have Qdoba on its jerseys and other team could have Levine. The association got 15 bags from Dicks for coaches. The bags were distributed at Lake Ave. during pictures. The practice jersey order went in to Jim at Embroidery Unlimited. It should take three weeks to get them in. The jerseys are blue like the coaches game jerseys. The jerseys have numbers on them so they could be used during games if other the team doesnt have alternate jerseys. The sponsor links are on the website. Three teams didnt show up for pictures: Squirt 1, Squirt 2, and Bantam 2. Some individual players from those teams showed up. Pictures will be done for House League. The teams that didnt show could do pictures then. Sponsor plaques should have team pictures on them. Coaches need to realize team pictures are for sponsors. $7200 raised through sponsorships. Another $1200 plus $600 from Steve Levine a possibility. Dinner dance: Nineteen couples are paid. Association needs to sell 34 tickets to break even. Deposits for dinner dance have been paid. The hall will need to be decorated that day, and some munchies will need to be bought. $150 has been budgeted to get stuff at BJs. Kevin F. will send an e-mail asking people to bring baked goods if they want. Kevin F. is confident the association will sell 50 tickets. Pat Nugent gave $800 worth of stuff to the raffle. Celtics tickets are available for the raffle. Jim Winske from Embroidery Unlimited will come that night and bring SYHA products. Callan will contact FMC regarding submitting comments for the vendor contract at Lake Ave. in light of incident regarding the giving out of coaches bags at the rink on picture day. Calendar raffle will be printed by Nov. 1. The same number of tickets should be ordered as last year. It was questioned if we have calendar raffle information from last year still on the website. Kevin OB will look into it. There will only be cash prizes this year. Jan. 10, 2009, will be Shrewsbury night at the Sharks. We have the pregame and intermission slots. The Peewee1 team is interested in pregame. The league could do a public skate before the Sharks game instead of a game. Two mite teams are also interested in doing the pregame. The House League kids could do the intermission. SYHA pins: The pins would be for teams going to tournaments to hand out to other teams. If the league orders over 1000 pins, the cost is $.99/pin. If 1500 were ordered, each team could be given three games worth of pins. This would cost about $1500 which comes out to about $45 per tournament. If less than 1500 are ordered, its $2.19 pin. Discussion ensued regarding how often pins are requested. A motion was made that the league spend $1500 for 1500 pins. Each team would be allotted 45 pins per tournament. Motion was seconded. There was more discussion, and the original motion was withdrawn. New motion was made: 800 pins will be ordered for SYHA to give out at state tournament and then others sold to SYHA members as needed. Estimated cost for this would be $900. New motion was seconded. Vote: Yes-6, No- 3, Abstained-1. Motion passed. Coaches: An e-mail was sent regarding not having a Director of Team Managers. It was questioned if a Director of Team Managers should be named now. Perhaps a formal coaches meeting should be held ahead of time to give them information. Perhaps the Board relied too much on the website this year. Next year there should be a Director of Team Managers. In the meantime, Kevin OB can send out an e-mail to managers asking them to contact him if they have any questions. Since there are new managers every year, the information for team managers should be given out each year. Some coaches tried to get their own logo this year, and some tried to reschedule their teams pictures. Some coaches are not showing up for practices. Assistants are running practices, which is an issue. The Coaching Committee tried to pick the most qualified people who have made a commitment. It was suggested that if coaches who are not fulfilling duties apply for head position next year, they should be told that past performance may affect the decision next year. Upcoming skills are very important. It was questioned if the association should have a Director of Safety. It was thought the Director of Equipment should be doing that, but the by-laws state the Director of Coaches is also the ACE Coordinator. It was felt the league should have a safety officer. There is a first aid kit in the lock box at Buffone Arena. An e-mail was sent to coaches asking who needed first aid kits for their team. All mite coaches received first aid kits for their team. Plastic throat guards were given to all teams that received goalie equipment. Some teams also received neck guards. Skills: Binders were given out to coaches with the skills. There seems to be good support for skills. The first session is this Thursday. The next session will be 8 and 9 am on Saturday. Goalie skills will start Sunday. All members have been sent an e-mail about skills. Coaches were also sent an e-mail. All the goalie sessions are on the calendar but are not linked to any team. A goalie team will be set up so goalies get reminders. Some mite and squirt teams have not identified all the players who will do goalie skills because the goalie position is rotated. Midget goalies will be invited. The skill booklet handout looks great. Pat Nugent created the skills, and Herb formatted it. Herb has put in a lot of work on skills this year. Equipment: A list of expenditures and an inventory of equipment was passed out. One more pair of mite goalie pads is on order. Additional pucks may need to be ordered. Scheduling: There have not been too many complaints so far. NYHL/AYHL: There was nothing to report from Kathy at Northstar. Wes was going to come to tonights meeting and tell us how he was improving the league but was unable to do so. Jerry will need to bring up our issues at NYHL roundtable. Only issue so far seems to be lack of teams. Only the presidents from each league were going to be invited to presidents round table. The meeting will be after parity round. There used to be more teams at each level at NYHL. Teams that are not currently in NYHL will be invited to the roundtable. The parity meeting at NYHL will be Oct. 14. Rich will send an e-mail to all coaches for input. Dave and Rich will then go over the input. Rich will print out standings for each of our teams. The Northstar parity meeting not been scheduled yet. State Tournament: We have ice at Northstar. Craig Boutilier will get Jerry prices, times, etc. Carol Walsh got the photographer and is working on the hotel. An e-mail was sent to the Peewee 2 team about volunteering and being there that weekend. When the Shrewsbury team schedule is known, an e-mail should be sent to all association members to get kids to come out and support the Peewee 2 team. If kids show up at the tournament with their Shrewsbury jersey, they will get a free pin. By-laws: A proposed revision on the Coach Selection Policy appendixe to bylaws was made: If the director of coaches, or any member of the coaching committee, is a candidate for a coaching position, they will not be present for the interviews, or the vote, for that position. No other persons besides the coaching committee shall be present for any interviews or vote. Before 2004, if you were a member of the Coaching Committee, you were not allowed to be head coach. Number 4 on Appendixe ECoach Selection Policy was added to the bylaws in 2004 because people on the Board were coaches and part of the Coaching Committee. The intent of the new revision is to make sure each candidate gets fair and equal consideration. People on the Coaching Committee are picked according to the bylaws, and an attempt is made to pick people at different levels. A motion was made and seconded to modify Appendixe E as written. Discussion ensued. Wording of the proposed revision was changed to: If the Director of Coaches or any member of the Coaching Committee is a candidate for a head coaching position, he/she can not be present for the interviews or the vote for that position. No other persons besides the Coaching Committee shall be present for any interviews or votes. A motion was made and seconded to stop discussion and vote. Vote on change was unanimous. Motion passed. The change will be made online in bylaws. A recommendation was made that once Cheryl e-mails Jerry the change, all members should read through the bylaws and come to the Board meeting with recommendations for what needs to be revisited. It was suggested pages 1-10 of the bylaws be reviewed. It was suggested hot spots be revisited first. Section 3, Appendixe E, and Section 5, page 16 should be looked at first. There was a question of whether a refund policy should be put in bylaws. Tryouts will be discussed at next meeting. Motion to adjourn made and seconded.
