Margaret will compile the edits and submit the completed report by Jan. 20th. Need to move canoe racks into a consolidated area. Jim and Mark will organize a time to complete this (Saturday morning). Terms of current commission members – There will be two commission seats (Mark, Don) up for election this year. We have to make sure that we are present at caucus to get names on the ballot. Mark will talk to Don Ashe to see if he intends to continue on the commission. Mark will contact Bizzy (beach director) to schedule a date for her to attend a future commission meeting to report out on the 2008 summer season. We would prefer for her to attend on the 26th of Jan. End of year report for the 2008 beach season. This should include Number of classes with enrollments for each (swimming and boating and lifesaving) Revenue brought in from all classes. Number of Red Cross certificates earned. Beach stickers sold Report of the condition of the facility at the end of the season. Comments on staff development and future staffing needs Summary of expenses against budget Recommendations for 2009 maintenance, budget, programs The report should be sent ahead of the meeting for review by the commission. Tennis program – we need to recruit a new director for the program. Mark will contact Karen Bolton to see if she is aware of a candidate. An article will be place in the newspaper to advertise for the position if needed. Falcon Sports Academy – They contacted Mark to see if we would be interested in contracting with them to provide sports programs in town. They could be a possible provider of the tennis program if we are unable to find a suitable director. Mark will contact them to see if they can attend a future meeting to present their program to us. Open Space and Recreation plan review – Conservation Commission meeting this Thursday, Jan. 8th. Mark and Jim will attend to represent P&R. In a future meeting we will discuss the need for a town-wide survey to determine the need for more programs. It was agreed that all commission members should read the current recreation plan and the accompanying survey results and develop 3 questions each to be used in a future survey. Ski program update – 2 full busses for the Bromfield program, 90 students, $8,750 collected in bus fees. The coordinator is requesting permission to have a pizza party at Wachusett using a surplus in bus fees. Mark will follow up with Cindy Glade for more details. Mark will also contact Vicki Rousell to get an update on the enrollment for the HES program. Storm damage on town property. Volunteers from the Unitarian church offered assistance last weekend to clean up the town common. It is unclear who is ultimately responsible for cleanup of land in the town that P&R oversees. Jim will try to attend tomorrow’s selectmen’s meeting to join in the discussion about storm cleanup. We would like to give priority to cleanup of the common but we will need to assess all P&R land to determine the extent of the cleanup that needs to be done. There is a question of where the money will come from to pay for hiring outside contractors to remove brush. We will review our accounts to determine what money may be available within our own accounts and we need to understand if the selectmen have an alternate approach to pay for all town cleanup. Winterfest at Fruitlands. Need to post info on the website. Volunteers are needed to help out. Contact Tim Ferment at Fruitlands to volunteer. Mark will post info on the P&R website. Next meeting scheduled for Jan. 19th but we will request that it be moved to the 26th to accommodate schedules. Margaret will notify town hall of the date change.
