Late registrations cause a lot of extra work for the age group coordinators and registrar. The soccer club makes every reasonable effort to fulfill late registrations despite the extra work. However there has to be a limit to that effort, and there is a strong interest to make sure that late registrations are handled consistently. The following is intended to define guidelines for age group coordinators to use when a late registration is received. In Town Program (U6, U7, U8) For the in-town program, the deadline is 2 weeks prior to the start of the soccer season. This is generally mid-August for the Fall soccer season and mid-March for the Spring soccer season. If a registration is received after the deadline, the age group coordinator will determine if there is room on an existing team in that age group. For 3v3 play, the maximum is generally 8 players per team. For 6v6 play, the maximum is generally11 players per team. If the answer is no, there is no room, then the registration is not accepted and a refund is made. If the answer is yes, the player is added to a team. Traveling Program (U10 and up) For traveling program, ages U10 and above, the registration deadline is generally mid-June for the Fall soccer season, and mid-December for the Spring soccer season. For travel teams, there is a two part assessment to determine the ability to accept the late registration Is there room on a team in the players age group? For 6v6 play, the maximum is 11 players per team. For 8v8 play, the maximum is 15 players per team. For 11v11 play, the maximum is 18 players per team. If the answer is no, there is no room, then the coordinator may investigate the availability/suitability of: placement in the next older Harvard age group; or placement on a non-Harvard team. If neither of these alternatives is available or acceptable to the player/parent, a refund is made. If there is room in the players age group, is there an opening on a team at the appropriate skill level of the player? The guideline for this depends on whether rosters have been announced or not. If rosters have not been announced, then adjustments may be made to accommodate a suitable placement according to the standard assessment and placement practices. If rosters have been announced, and there is room on a team appropriate to the players skill level, then the player is added to that team. If the rosters have been announced and there is not room on a team appropriate to the players skill level, then the registration is not accepted and a refund is made Once rosters have been announced, roster changes will not be made to create a suitable opening for the late registering player. Late Registration Fees (U10 and Up only) Late registration fees will apply to any late registration but may be waived at the discretion of the club under the following conditions: The player had already verbally registered with the age group coordinator. The player is new to the program.
