Board Meeting Minutes

February 9, 2011

OPENING REMARKS 

 

Mike Shumsker the Sales Rep from New England Revolution, presented pitch for the 2011 Youth Soccer Partnership Program.  It offers Gold Level, Silver Level or Bronze Level Partnership.  The Bronze level requires the purchase of 4 Full Season tickets and 10 group tickets for First Kick on March 26, 2011.  The Bronze level offers: access to YSP events, 2 spots in the “train with the pros” Soccer Clinic, 2 spots at VIP private practice, a joint tailgate lot with private parking along with Hanover Youth Soccer for Spring outing, 30 Rally Tunnel spots before the spring outing game, a Revolution Player appearance in Pembroke, a rebate of $2 on Category 2 Group Tickets, 1 team autographed ball and 1 team autographed Jersey.  A motion was made to have PYS sign up for the Bronze Partnership Package: Motion PASSED

 

SECRETARY’S REPORT

Minutes from January 2011 meeting was reviewed.  REPORT ACCEPTED

 

TREASURER’S REPORT

Presented by Gary Parker.  The Financial Report included transactions from November 10,  2010 through February 9, 2011.  See Report attached.  Discussion took place involving the proper way to spend the excess funds available at the end of the year.    For March’s meeting, a cost analysis will be presented to determine the actual per player expense in an effort to determine what next season’s registration fees need to be.  Gary informed the board that one of the non-profit status requirements for PYS is that Conflict of Interest Forms need to be signed by all board members.  He will have them available at the next meeting.  A motion made to accept the Treasurer’s Report: REPORT ACCEPTED

 

OLD BUSINESS

            Chris Campbell Eagle Scout Project         

Chris Campbell presented PYS with a check of $233.93.  These were the additional funds he raised for his Eagle Scout project of adding recycling bins to the soccer fields.  He reported he did earn his Eagle Scout Recognition from the Boy Scouts of America.

 

            Lease Committee

            Mike Cavalear still in the process of determining date and time of lease committee meeting.

           

Coaches Meeting

            A coaches meeting will be held for coaches at all of the levels (U6-U19) on March 20th from 3:00 PM to 4:00 PM at North Pembroke Elementary school.  The first priority of the meeting will be to communicate the Coastal Rules.  Also, player cards and uniforms will be distributed by age level coordinators.  Directly following the meeting, a coaching clinic

 

 

will be held in the Gym from 4:00-5:30 PM.  The clinic will be led by Dave Gleason and Dan Sullivan. 

             

REGISTRAR’S REPORT 

Reported by Mike Tropeano.  The preliminary rosters went to Coastal mid-January.  The high school age teams are as follows: 

U16~23 Boys/13 Girls, U18~16 Boys/0 Gir;s, U19~4 Boys/1 Girl discussed pooling the U19 kids in with another town’s team.  The Coastal divisions that will be played in are as follows: 

U12 Girls~division 1B, U12 Boys~division 1A, U14 Girls~Division 2A, U14 Boys~Division 1A    

Player cards will be ready for distribution at the March 20th Coaches meeting.

 

COASTAL REPORT

 Fran Squatrito not present, no report. 

 

COACHING EDUCATION REPORT

Reported by Ralph Perrotto:  Samba Sundays offered by PYS with PTUSA located at the North Pembroke gym began January 23rd  and run for 8 weeks (no session Feb 20th) thru March 20th.  Participation includes 51 kids: 18 U7 boys and girls, 18 U8 boys and girls, and 15 U10 boys and girls. Enough income was generated through these registrations to prevent a loss to PYS to run the program.     There is a low participation of Pembroke Coaches receiving Coaching licenses discussion around how to encourage more coaches to take advantage of these courses.

   

REFEREE COORDINATOR REPORT

There is new scheduling software that is being reviewed for possibility of PYS to use.

 

NEW BUSINESS

 

            Fundraising

Talk about increasing the registration fees by $15 in lieu of fundraising next season.  Discussion tabled until cost analysis for actual cost per player is complete.  Items needed requiring the funds include increasing the size of field three and  adding a PA system to the facility.

 

            Team Photos

            Three proposals received and all pricing is comparable.  Discussion about Dad’s photo revolved around their improved customer service, they are accommodating, and they have made up for past issues.  Need to figure out dates for pictures to be taken.

           

Summer Soccer Camps

World Cup Soccer Camp dates have been set.  Grades 1 and 2 will take place July 18th-22nd and Grades 3 thru 6 will be on July 25th thru 29th. 

                                                                                                 

PTUSA camp will be offered August 1st through 5th.

 

Field Rentals

MPS will be renting the fields May 10-11, 2011.  NEFC will be submitting a request to rent 1 field on Sundays.

 

GU14 Select Team Change Request

One of the GU14 Select team players will be unable to play with PYS.  The Select Coach requesting approval to replace the player with another.  Without the additional player the roster now has 18 registered players.  A motion was passed to keep the roster at 18 and not replace the player: MOTION PASSED
