Passed unanimously. Treasurers Report: Two families are left with balances. Three midget families are left with balances. House League and Learn to Skate numbers were reviewed. There was discussion about allowing mites and House League to use Learn to Skate. Payments for leagues and payments for ice need to be clarified or changed. Clarification is also needed on whats still payable. Cindy may not have all invoices yet. A motion was made and seconded to accept the report. Motion was unanimously passed. Miscellaneous: The pucks are way down at Lake Ave. The lock box was open before a Learn to Skate session. A reminder needs to be sent to coaches to lock the equipment box. More pucks need to be ordered. Cheryl will do that. All final rosters should have been in by December 1, 2008. Fundraising: The calendar raffle is almost all set. An e-mail was sent to everyone regarding expenses and revenue. Teams will be getting packets with information. More monetary prizes will be given out this year. Kevin OBrien will put information on the raffle on the SYHA website. Drawings will be done at Butler-Dearden. A question was asked if the top ticket seller each week could be put on website. That would be difficult to do because all the players turn in their ticket sales at different times. Tickets will have to be turned in by December 22, but tickets can still be sold throughout the length of the raffle. Once a ticket is drawn, it goes back in the pool, so someone could win more than once on a ticket. Each player should sell 8 tickets at $10 each. A question arose concerning if players sold extra tickets, could they get some kind of prize. If that were done, then more money would be spent out for the raffle, and the Association would take in less money. The Sharks game on Jan. 10, 2009, will be SYHA night. The Mite 3 team will play Triboro before the game, and the Association will try to get two House League teams for intermission. Dan will coordinate getting enough House League players for a 6-on-6 with two goalies. Marina from the Sharks is working with team managers to handle ticket sales. Each player will get two tickets. The charge for the tickets was included in the registration fee for this year. Extra tickets will need to be ordered. Callan talked to Nick at Lake Ave. regarding ice time for the coaches game for Apr. 4, 2009. Kevin OBrien will put the coaches game date on the SYHA website. Kevin Flaherty is trying to schedule make-up pictures. Group pictures need to be taken for team sponsors. Callan will put the make-up schedule on the website. Players only need to wear jerseys for the team picture in the locker room. Squirt 1, Squirt 2, and Bantam 2 need to do make-ups. House League pictures will be taken at the same time. State Tournament: A budget was submitted to Mass Hockey for the tournament. Expenses will be approximately $10,000. Without any fundraising, SYHA will make $3,000 from tournament fees. The tournament is for Peewee Tier 3 teams. There will be sixteen teams in the tournament. The charge per team is $890. Our Peewee 2s will get a bye since we are hosting. The tournament is a good fundraiser for the Association. Coaches: Players need to play 12 games for SYHA in order to play in the state tourney. Goalies can play up/down unlimited times. Schedule: So far, there have only been three complaints. SYHA bought extra ice for this year, but the times are Sundays at 6 am and 10 am. Because of the 6 am time, there will be more early practices. In June 2009, SYHA will negotiate for ice times for the next year. Prime ice time is taken up by high school teams during the high school season. If teams have late night games, they usually do not have early practice the next morning. Coaches should let Callan know, though, if they will not be using their ice time so other teams may be able to use it. Since Callan does not see the conflict forms for the leagues, he does not know when teams are not available. Conflict forms should be given to Rich. An e-mail should be sent to coaches and team managers reminding them to send conflict forms to Rich otherwise Callan cant tell when not to schedule a team. The Association should put in conflict forms for the coaches game and Sharks game. The Association should also try to put in conflict forms for tryouts. NYHL/AYHL: Callan and Rich are working together to make the schedule work and to contact leagues. Steve at NESC is no longer getting conflict forms from coaches. Coaches may not have known to send conflict forms to Rich. The rinks will know when the playdown dates are for conflicts, but SYHA needs to let the leagues know which teams will be involved. Rich will send out an e-mail regarding the next parity rounds. There are parity round meetings on Dec. 8 at Northstar and Dec. 15 at NESC. Rich will bring data from the coaches to the parity meetings. Input regarding parity needs to be sent to Rich by the end of this week. This is the last chance for teams to move for the rest of year. Todd will also send out an e-mail to coaches. There is still a lack of teams at NESC. The number of teams at NESC has been shrinking each year. There is a question if Midstate will be staying at NESC next year. If Midstate is not, there will probably not be enough teams in each division. Wes still has not had a meeting. Jerry will contact Wes regarding SYHAs concerns. A question arose regarding what options SYHA would have if it pulled out of NESC next year. There is no other league closeby, but there is the Dual State League in Tyingsboro as an option. Teams could also do more tournaments and skills as an option. By-laws: There is some confusion with the current booklet. It was reformatted, so the page numbers are off and not what is on the SYHA website. The language is the same, but the page numbers are different between the website and the booklet. What is on-line is what was filed with the state. Jerry will highlight changes in yellow when resending bylaws to the board. The font size could be changed so there arent as many pages. Jerry will make sure everything gets updated before the next meeting. Pg. 21, Appendix D: Suggested changing Section 5, 2. d to two 2-hr. sessions. Each group will be on the ice for at least 2 sessions or more generically Tryout committee will determine how much ice time/sessions on yearly basis based on player numbers and what needs to be evaluated. Should the board or tryout committee determine that? Tryout committee would make a recommendation and the board would approve. Another suggested wording was Tryout committee, on approval from the board, will determine number of sessions. The tryout policies were developed so that the format did not penalize or give an advantage to any particular player. The tryout committee will determine the appropriate amount of sessions to properly evaluate each group with prior approval from the Board of Directors was the wording liked the best. If there are only 20 players for a division, everything could be done in one session. Information to delete: What is in parentheses for 2. f, 2. g, and 2. h. Last sentence in g because each evaluator may do more than 1 skill The times in parentheses in g and h Some House League players had some trouble with tryouts last year because they were not familiar with drills. A suggestion was made that maybe there should be some pre-tryout drills for House League. More specifics about this should be discussed in Jan. and Feb. There could be one practice a week for House League for tryouts. 2. e should be kept the same. The following should be added to 2. d, All players will have the opportunity to skate in comparison with all other players at that level at least once. Section 6, pg. 22: Coaches player evaluations have not been used for last several years. There had been hours of discussion on how to use coaches evaluations. One of the problems is that each coach has only seen his own team. Coaches evaluations and Lovells evaluations should jive. If there is a difference, coaches could be talked to in order to see why. Discussion ensued on the value of coaches evaluation in the team selection process. It was suggested that the first sentence should be kept with an addition: ... player evaluation, if needed, to determine It was also suggested that the coaches evaluations could be given to next years coach to review. It was suggested that Tim Lovell come to a board meeting before tryouts to discuss the format and concerns from tryouts this year.
